The six-systems problem

Everyone running a business asks the same question. Nobody gets a straight answer.

How are we really doing, and what is coming that I should know about? The answer is in your accounts, your pipeline, your job records, your staff data and your contracts. It is just in six places, and nobody has the afternoon to join them up.

01
Made on gut feel

Six reports, a week late, that do not quite agree. So the decision gets made on the one number that was easy to reach.

02
Paid for, switched off

Most businesses already own AI and automation features inside software they pay for every month, and have never turned them on.

03
Used, but unseen

Staff are already using free AI tools with company information because nothing better was offered. You cannot see it, govern it or delete it.

04
Starting from blank

Your senior team explains the business to a chatbot from scratch every time, and gets back something that sounds like everyone else's company.

What changes

Ask once. Get one answer from the whole business.

Connected once to the systems you already run, with you deciding exactly what it is allowed to see, AI answers from the real figures in each of them rather than from whatever report someone had open. Then it writes the update for your management meeting the way you would write it, with the follow-ups already booked in.

See how this works at Better AI
  • Everyone gets a helping hand.Inside the tools they already use, seeing only what they are already allowed to see.
  • Your senior team stops starting from blank.A shared workspace that holds your strategy, your decisions and the way your company works.
  • The admin disappears.Chasing invoices, retyping details, turning meetings into minutes, drafting proposals from your last good one. Dozens of tasks, every department, most of them startable this month.
  • You stay in control.A written AI policy your staff have actually read, and a clear picture of which tools they really use today.

We did it for ourselves first

One page. One conversation. The whole picture.

Here is just one example. Before every Technical Business Review (TBR), our AI gathers everything we need to know about a client.

What it gathers
  • How secure the client is against the latest threats, based on the software they run
  • Which licences are paid for and which are actually used
  • A structured plan for laptop, computer and server replacements
  • Which problems keep coming up, and what we should fix so they stop
  • When certifications need renewing
  • Whether any staff email addresses have appeared in a data breach
  • What all of that means for next year's budget
Where it lives
  • Our monitoring tools
  • Our support system
  • Our security tools
  • The client's own Microsoft environment

It arrives as one page and one conversation.

Ready before the meeting starts.

From our technical account manager
“As part of our support packages, I carry out regular technical business reviews for clients, in person or via Teams. I review their wider IT estate to identify weaknesses in security or gaps in compliance, then work with them on a remediation plan. The report also covers shadow AI checks and dark web scanning, so we can spot unauthorised AI tools in use or domain breaches from third-party websites. And we stay ahead of what’s next, keeping up with changes and advising where needed.”

The same approach runs across the rest of our business.

  • Sorts and prioritises our support requests as they arrive
  • Writes up how each problem was fixed so the next engineer has the answer
  • Drafts our documentation
  • Sets up and closes down staff accounts when people join or leave

We now build the same for the systems that run your business.

AI speeds up whatever you point it at. Point it at a well run business and everything gets faster. Point it at a mess and the mess gets faster. That is why we start with an honest answer, and sometimes that answer is “not yet, and here is what to fix first”.

What's included

What we actually do for you.

Delivered under Better AI, our own AI practice. The first four need nothing connected to your systems. The second four are the project that connects your business to AI, and it starts with a Discovery.

Start here. Nothing connected.
01 Where you stand

AI Readiness Check

In two minutes you will know whether your business is ready for AI, what is in the way, and what to fix first.

  • Self-serve, online, no waiting for a report
  • Scores your foundations, your security, your Microsoft setup and your AI readiness, in that order
  • Tailored to your sector, so the questions are about your business
  • A plain-English verdict, including “not yet”, and the order to fix things in
02 What staff really use

Anonymous staff AI survey

You will find out which AI tools your staff are actually using, and what has gone into them, without anyone fearing for their job.

  • Twelve questions, five minutes, one identical link for everyone in your organisation
  • Run on our online portal, not your systems. No names, no email addresses, no way to trace an answer
  • Shows which tools, whose accounts, what information has gone in, and who has read your rules
  • A short plain-English report built from your own workforce's answers, not a supplier's slide
03 Start this month

Everyday AI and Automation

The admin that eats your team's week gets done without them, starting this month, with nothing connected to your systems.

  • Agents that turn a recording into minutes, a contract into key dates, receipts into a reconciliation
  • Automation for retyping between systems, renewal reminders, month-end packs and filing
  • Nothing connected to your systems, set monthly plan, no surprise bills
  • Much of it is already in software you pay for and have never switched on
04 The rules

AI policy and governance

Your staff will know exactly what they may and may not do with AI, and you will have the paperwork to prove it.

  • A plain-English acceptable use policy checklist, and help making it yours
  • The survey results turned into a picture of your real exposure
  • Evidence ready for auditors, insurers and clients
  • Reviewed at each service review
Connect the business. The project.
05 Discovery

AI Foundations Discovery

Before AI goes anywhere near your systems, you will know exactly what already has access to them and whether your protections work.

  • Every app, service and AI tool in the agreed scope, including dormant ones
  • Whether your sign-in rules, protections and records actually work as you think
  • Which of your business systems could ever be safely connected, and which could not
  • Findings report, evidence pack and prioritised fix list. Read-only throughout.
06 Connected

Connected AI

Your systems are connected once, under your rules, and the AI tools you deploy work from the same live data.

  • Emails, calendars and meetings, plus accounts, customer records, jobs and documents
  • You decide exactly what may be seen, and what may never be changed
  • The same live data behind every answer
  • A record of who asked what, for auditors and for you
07 Your team

AI for your whole team

Every person in the business gets an assistant inside the tools they already use, seeing only what they are allowed to see.

  • Permissions and licences checked first, so oversharing is found before the AI finds it
  • Rolled out to the people who will get the most from it first, then everyone else
  • Short, practical training so it gets used on real work, not left in the toolbar
  • Usage reviewed with you, so you know which seats are being used and which are not
08 Leadership

AI for leadership and projects

Your leadership team and project groups work in shared spaces that already know the business, so nothing is explained twice.

  • One shared space per project, new idea, team or client, with the right people in each
  • Your standards, past decisions and house style loaded once and kept current
  • Reports, proposals and analysis that come back in your company's voice, not a generic one
  • The team collaborates in one place, so nothing is re-explained and nothing is lost between versions

Frequently asked

The questions business leaders ask us about AI.

Straight answers on cost, risk, readiness and where to start.

Is our business ready for AI?

Depends on what is underneath it: how your files are organised, who can see what, and whether basic rules are written down. Our two-minute readiness check gives you an honest answer, including ‘not yet, and here is the order’ if that is the truth.

Where do we start?

With the tasks that need nothing from your systems: turning meetings into minutes, drafting from your last good proposal, chasing what needs chasing. That can start this month. Connecting AI to your business data comes after the groundwork.

Our staff are already using free AI tools. Is that a problem?

With company or client information, yes. It leaves your control and you cannot see, govern or delete it. The fix is a governed alternative plus a short written policy, not a ban.

Will AI see things it should not?

Only if your permissions already let people see things they should not. That is why we check who can see what before anything is switched on, and why you decide exactly which systems AI may reach.

Do we need to buy new software?

Often not to begin with. Most businesses already pay for AI and automation features that have never been switched on. We start by finding those.

What does it cost?

There is no price list because there is no single product. Some of it you already own. Some is a fixed monthly subscription. Some is a piece of work we quote. We will tell you honestly which is which, and if the answer is ‘not yet’ we will say so.

Is this just Microsoft, or something else?

Both, depending on the job. Your whole team works inside the tools they already have. Your senior team may need something built for deeper work. The recommendation follows the work, not the brand.

Who actually does this?

Better AI, our own AI advisory practice, run by the same Leicestershire team that holds ISO 27001, ISO 9001 and Cyber Essentials Plus. We run every recommendation inside our own business before we make it to you.
